Creamery Office Assistant Job at Zingerman’s – 3.9 in Ann Arbor, MI
Pay starts at $13-$15 per hour depending on experience
40 hours per week (usually) over five days
One Weekend day and Holiday availability. We close only on Thanksgiving and Christmas Day.
Reports to the Managing Partner, and works with the Accounting Manager,.
Full availability in November and December (we don’t take any extra time off during these months)
Performance Expectations – Essential Functions
Lead the Creamery in making our service great to vendors and customers.
Responds to emails from customers, accounts payable and accounts receivable contacts
Completes daily service tasks. Sending emails, managing customer information, placing orders for customers, responding to service and quality concerns.
Know what is special about our cheese and gelato in detail and be able to communicate this effectively.
Manages accounts receivable. Contacts delinquent customers to collect payments. Processes and manages credit card payments and information. Coordinates new customer credit accounts. Creates and sends monthly statements to customers. Works to resolve invoice issues and disputes. Communicates A/R activity with Sales and Service
Daily, weekly, and monthly data entry for accounting. Enters weekly payroll numbers, retail daily transactions and events, bank deposits.
Utilizes the KanBan system of fulfillment and inventory control
Will also work 1-2 shifts per week in the Cream Top Retail Shop.

Create, maintain and improve task card systems and standard operating procedures (SOPs) for office related work
Document customer feedback
Coordinate mail flow in and out of office
Perform other related clerical duties such as photocopying, faxing, filing, collating and scanning documents
Deliver the Zingerman’s Experience to all guests, including following the 5 Steps to Handling a Customer Complaint
Complete Zingerman’s training within time frame and attend meetings as required
Assist with creating and implementing systems and processes
Identify and implement process improvements to increase efficiency and accuracy
Handle sensitive information in a confidential manner
Provide other support as needed
Basic Accounting coursework or equivalent work experience
Proficiency in Microsoft Office and Google Apps
Accounts Payable or other Bookkeeping experience
Experience using Accounting (invoicing) Software (Sage preferred)
Experience with a POS system, TOAST preferred
General knowledge of inventory preferred
Demonstrated attention to accuracy
Ability to handle complexity and large information flow
